Viewing Usage and Billing

Your account settings has everything you need: how much you've used, what plans you've paid for, and where to manage subscriptions or download invoices.

Where to find it

Click your avatar (top right) → "Account Settings." You'll see tabs for Usage Statistics, Billing History, and Subscription Management. Everything below lives in those tabs.

What "Usage Statistics" shows

Your consumption in the current billing cycle, broken down by feature:

  • Interview / Discussion count
  • Social media scans
  • Reports generated
  • Audio reports
  • Sage queries
  • File uploads and storage

For free and Professional plans, each line shows used / limit (e.g., 3 / 5 interviews). For Team plans, the count shows total usage across the team.

You can drill into each line for a per-project history — when each interview ran, which personas were involved, how long it took. Useful when you're trying to figure out where your quota went.

How quotas reset

Free and Professional quotas reset on the first of each month (UTC). Unused quota doesn't roll over — 3/5 used in January means 0/5 available again in February.

Team plan quotas (interviews, social scans, reports) don't reset because they're unlimited.

Billing history

Every payment shows up here with date, plan, amount, and status. Click any line for an itemized receipt. If you need a PDF copy for expense reports, download from this page.

For Team plans, the admin sees the team's billing history; members don't see billing details (they see only their own usage).

Managing your subscription

From Subscription Management you can:

  • Upgrade or downgrade your plan (takes effect immediately, prorated)
  • Switch between monthly and annual billing (annual gets 20% off)
  • Update payment method
  • Cancel auto-renewal (subscription stays active until the end of the current period)
  • Delete your account (irreversible — see below)

Adding seats on Team plans

Admins can add or remove team members. Adding mid-cycle charges a prorated amount for the rest of the cycle. Removing doesn't refund the current cycle but lowers future cycles.

Invoices

Personal and corporate invoices are both supported.

  • Personal invoice: Apply from Billing → Invoice Management. Issued as an electronic VAT ordinary invoice within 1-3 business days.
  • Corporate invoice (deductible): Apply with company name, tax ID, and bank details. Issued as a VAT special invoice within 5-7 business days (paper copy mailed).

You can apply for invoices for any payment within the past 12 months. Outside that window, contact support.

For Team plans with corporate billing, save your company details once and invoices auto-generate each billing period. Admin can change billing details at any time.

What happens if your payment fails

The platform retries the charge over a few days and emails you if it keeps failing. If unresolved by the end of the retry window, the account downgrades to Free at the end of the current period. Your data is preserved — you just lose access to paid features until you update payment.

Refunds

Within 7 days of a new paid subscription, you can request a full refund if you've used fewer than 3 interviews. After that window, refunds are case-by-case — typically only for service outages that prevented reasonable use.

Exporting usage data

Useful for finance reviews or internal cost allocation. Export formats:

  • CSV (good for spreadsheets)
  • PDF (good for printing/emailing)

Available date ranges: current month, last 3 months, last 6 months, or custom range.

Deleting your account

Account Settings → Delete Account. This is permanent. All your data — projects, personas, reports, Sage experts, billing history — is removed. The platform gives a confirmation prompt and a 30-day grace period in case you change your mind; after 30 days the deletion is final.

If you're on a Team plan, the admin must remove all members and transfer ownership before deleting.

Common questions

Why does my usage show different numbers than I expected? Each "interview" is one completed project. A project with 8 personas counts as 1 interview, not 8. Discussion chats also count as 1 interview.

Can I get a refund for unused quota? No. Quotas reset monthly; you can't get money back for unused capacity.

How do I switch from monthly to annual billing? Subscription Management → "Switch to Annual." Takes effect at the end of the current monthly period, so you don't lose what you've already paid.

Can I see what my team members are doing? Admins see aggregated usage (counts per person, per feature). Admins don't see the content of members' private research by default.
